The City Clerk is one of the oldest of public servants in local government. This profession traces back more than 2,000 years and was once referred to as the “Town Reminder” or “Remembrancer.” Today, the City Clerk’s Office is responsible for:
- Maintaining all official City of Ponca City records - the office receives original documents, organizes and files them, maintains and preserves the records, and distributes public information
- Maintaining contracts and agreements as well as city ordinances and resolutions - the Finance Director / City Clerk / Treasurer or Deputy City Clerk attends all City Commission meetings and records an archived set of minutes that are a complete and accurate record of the proceedings
- Posting and publishing all legal notices, notices of public hearings, and notices soliciting public bids
- Giving public notice of all meetings of public bodies, such as the City Commission, in accordance with the Oklahoma Open Meeting Act, as well as process citizen requests for information in compliance with the Oklahoma Open Records Act

The City Clerk’s Office requires versatility, alertness, accuracy, and patience. Although much of the work is cyclical, at the end of every day it is fulfilling to know that when a request comes in to review an ordinance that was passed 40 years ago or minutes of a meeting held in the previous year, the records are close at hand and can be retrieved in a timely manner. The city clerk’s office is proud of the vital role it plays in linking our community to their local government.
